Coordinator, Finance & Administration

Reports to: Manager, Finance & Administration
Location: New York, NY (on site and remote)

The Coordinator, Finance & Administration is an integral part of the finance team and is responsible for recording the day-to-day accounts payable and cash receipts transactions and assisting the Manager, Finance & Administration with the monthly and year end close. Working closely with internal teams, the Coordinator, Finance & Administration ensures complete and accurate financial reporting, utilizing attention to detail, strong communication skills, and the ability to develop effective working relationships across the organization.

Essential Job Responsibilities

Finance and Accounting

  • Accounts Payable
    • Enter invoices into QuickBooks accounting software
    • Process weekly checks and wire transfers
    • Manage all digital accounts payable files
    • Prepare annual IRS Forms 1099-MISC and 1099-NEC
  • Data Entry and Cash Receipts
    • Prepare daily deposits and scan checks using remote bank teller software
    • Prepare Daily Donation Log and distribute to appropriate colleagues
    • Prepare daily cash receipts journal entries
    • Collaborate with Database and Development teams to ensure accuracy of revenue records and assist with acknowledgment letters when needed
  • General Accounting/Month End Closing/Annual Audit
    • Prepare and post journal entries to QuickBooks
    • Prepare monthly bank reconciliations
    • Maintain general accounting files
    • Assist in the month-end close and annual audit process
    • Other ad-hoc projects as assigned by the Manager and Director, Finance & Administration

SAP Concur

  • Provide all staff with monthly credit card statements
  • Review Concur reports for accuracy and import to QuickBooks
  • Monthly credit card account reconciliation

Payroll

  • Assist in entering all employee payroll data into ADP including but not limited to:
    • Demographic information
    • Pay rate changes
    • Time off requests
    • Benefit plans
    • Direct deposit
  • Assist in processing bi-weekly payroll for administrative and field staff via ADP
  • Assist in reconciling bi-weekly payroll funding transfers initiated by ADP

Physical demands

While performing the responsibilities of the job, the employee is required to talk and hear. The employee is often required to sit and use their hands and fingers, to handle or feel. The employee is occasionally required to stand, walk, reach with arms and hands, climb or balance, and to stoop, kneel, crouch or crawl. Vision abilities required to perform this job include close vision.

Education

Minimum Bachelor’s degree in accounting or finance or equivalent work experience.

Experience

  • Minimum two (2) years accounting and business office experience, not-for-profit experience is preferred
  • Demonstrated general accounting and bank reconciliation experience
  • Proficiency in Microsoft Excel and Word
  • Knowledge of QuickBooks, ADP, electronic banking
